Minimum Requirements
Educational Qualifications
Applicants must possess:
- Grade 12 (Matric) Certificate.
- National Diploma or Degree in:
- Public Management
- Management Assistant
- Or a related qualification.
Added Advantage
The following will be advantageous:
- Diploma in Law.
- Previous experience or exposure as an Administration Clerk.
- Computer literacy in:
- Microsoft Word
- Microsoft Excel
- Microsoft PowerPoint
- Other relevant computer applications.
Required Knowledge and Skills
Successful candidates should demonstrate:
- Knowledge of general office support systems and administrative procedures.
- Strong written and verbal communication skills.
- Understanding of legislative frameworks governing the Public Service.
- Ability to summarize discussions and key decisions accurately and concisely.
- Excellent attention to detail in report writing and document preparation.
- Basic office planning, filing, organizational, and archiving skills.
- Strong interpersonal skills and professionalism when dealing with stakeholders.
- Effective time management and multitasking abilities.
Key Responsibilities
The successful candidates will be responsible for:
Administrative Support
- Assisting in the management and organization of the Legal Services Directorate.
- Providing administrative support across various sections within the Directorate when required.
- Delivering efficient and effective administrative services to internal and external stakeholders.
Case Management and Document Control
- Organizing, monitoring, and tracking legal cases received by the Directorate.
- Managing information flow and document tracking throughout case processing.
- Maintaining accurate and up-to-date records and filing systems.
Data Capturing and Reporting
- Updating relevant registers daily using Microsoft Excel spreadsheets.
- Compiling statistics and reports on a daily, weekly, and monthly basis as required.
Stakeholder Liaison
- Handling telephone enquiries professionally.
- Interacting with stakeholders, including:
- Doctors
- Nurses
- Legal practitioners
- Government employees
- Other relevant parties.
Procurement and Logistics
- Assisting with the procurement of goods and services in accordance with departmental policies and public service regulations.
- Providing logistical and operational support to the Directorate.
- Ensuring smooth office operations to support departmental objectives.
Office Administration
- Implementing and maintaining effective office systems and processes.
- Providing professional assistance and administrative advice to clients and stakeholders served by the unit.
