Minimum Education Requirements

Executive Office Management

The Personal Assistant will be responsible for:

  • Managing the Director’s calendar and ensuring effective scheduling and prioritisation.
  • Coordinating meetings, appointments and executive engagements.
  • Managing competing priorities and resolving scheduling conflicts.
  • Preparing daily and weekly schedules, briefing packs and agendas.
  • Ensuring efficient administration of the Executive Office.

Executive Support

Responsibilities include:

  • Preparing correspondence and executive documentation.
  • Screening, prioritising and managing incoming communications.
  • Drafting professional correspondence on behalf of the Managing Director.
  • Tracking actions arising from meetings and ensuring timely follow-up.
  • Maintaining confidential records and executive files.

Meeting and Governance Coordination

The successful candidate will:

  • Coordinate Executive Leadership Team (ELT/CMT) meetings and Board-related activities.
  • Prepare meeting packs, agendas and supporting documentation.
  • Record meeting outcomes and monitor action items.
  • Ensure governance documentation is completed accurately and on time.
  • Support leadership forums and strategic events.

Stakeholder Coordination

Duties include:

  • Serving as the primary point of contact for internal and external stakeholders.
  • Coordinating engagements with Coca-Cola system partners, customers and service providers.
  • Liaising with senior leaders across different business functions.
  • Building strong stakeholder relationships while maintaining professionalism and discretion.

Travel and Event Management

The Personal Assistant will:

  • Coordinate domestic and international travel arrangements.
  • Manage accommodation, transport and travel itineraries.
  • Prepare travel documentation and expense submissions.
  • Coordinate executive events, leadership workshops and stakeholder engagements.

Administration and Office Operations

Responsibilities include:

  • Managing executive correspondence and document control.
  • Maintaining filing systems and records.
  • Processing invoices, purchase requests and expense claims.
  • Coordinating office logistics and administrative requirements.
  • Ensuring compliance with company administrative policies.
