Minimum Requirements

Applicants must have:

  • Senior Certificate (Grade 12)
  • Secretarial Certificate or Diploma
  • 1–2 years’ experience in a Secretarial or Office Management environment

Required Skills and Competencies

Candidates should demonstrate:

  • Experience providing administrative and secretarial support to senior management
  • Strong telephone, reception, and diary management skills
  • Advanced typing, drafting, and document preparation abilities
  • Experience compiling reports and maintaining filing systems
  • Ability to coordinate meetings, prepare agendas, take minutes, and follow up on action items
  • Experience arranging travel, accommodation, and S&T claims
  • Office procurement and requisition handling skills
  • Good computer literacy in Microsoft Office packages
  • Ability to operate standard office equipment
  • Strong interpersonal skills, discretion, and confidentiality

Duties and Responsibilities

The successful candidate will provide comprehensive administrative and secretarial support to the Chief Director. Responsibilities include:

  • Managing telephone calls and routing enquiries
  • Maintaining appointment schedules and diaries
  • Performing advanced typing and document preparation
  • Managing office information and filing systems
  • Compiling reports and responding to enquiries
  • Coordinating travel and accommodation arrangements
  • Processing S&T claims and office requisitions
  • Preparing meeting packs, agendas, and briefing notes
  • Recording meeting minutes and monitoring follow-up actions
  • Assisting with budget administration and expenditure monitoring
  • Coordinating office meetings and annual schedules
  • Ordering stationery and office equipment
  • Supporting administrative and financial functions within the office
